Cleaning estimate template.
Before a new client books, they want two prices: the first clean, and the regular one after it. This template puts both on one estimate, along with what’s included, so there are no surprises on the day.

How the numbers add up
- The deep clean is priced from a walkthrough: two cleaners for about 5 hours. The first clean takes longer because built-up dust and grime only come off once.
- Pet hair is its own line, so the customer can see why the price is above the rate for the home’s size.
- Regular visits cost less because the home is kept up between them. The estimate shows the first regular visit, and the note gives the price of every visit after it.
Walkthrough or phone estimate?
A walkthrough gives you the most accurate price: you see the clutter, the floors and the pets. A phone or photo estimate is faster but riskier, so say on the estimate that the price assumes the home matches what was described, and that you’ll confirm before starting if it doesn’t.
What to write under “included”
A short list in the notes stops “I thought that was included” on the first visit:
- Kitchen: counters, outside of appliances, sink, floor.
- Bathrooms: toilet, tub or shower, sink, mirrors, floor.
- Living areas and bedrooms: dusting reachable surfaces, vacuuming, mopping hard floors.
- Not included unless listed: inside the oven and fridge, inside windows, laundry, dishes.
Pricing the first clean against the regular one
Keep the two prices separate and visible. If you hide the deep clean inside a higher regular price, the client pays for it forever. If you skip it, the first few regular visits overrun.
Use your own timings to set both. Once you know how long a typical first clean and a typical regular visit take for a home of each size, the estimate takes a minute.
Questions and answers.
How do I estimate a house clean without seeing it?
Ask for the number of bedrooms and bathrooms, the type of flooring, pets, and when it was last professionally cleaned, plus a few photos if the client will send them. Then write your assumptions on the estimate.
Why is the first clean more expensive?
It removes build-up that regular visits never have to deal with: baseboards, grout, behind appliances. It’s also when you learn the home, so it takes longer.
Should a cleaning estimate say what isn’t included?
Yes. A one-line “not included unless listed” is the cheapest way to avoid an argument on the first visit.
How long should a cleaning estimate stay valid?
Thirty days is common. A home’s condition can change, so if the client books months later, it’s fair to recheck before the first visit.
