Painting invoice template.
A painting invoice usually follows an estimate: the agreed price, any changes the customer approved along the way, minus the deposit they’ve already paid. This template shows all three, so the balance due is never a surprise.

How the numbers add up
- The first two lines repeat estimate EST-0042 word for word ($1,680 labour + $325 paint = $2,005), so the customer can lay the two side by side.
- Each change has its own line with what was agreed and when. A change approved by text still deserves a named line on the invoice.
- Tax: 6% on the paint and primer only ($374 × 6% = $22.44). Rules for painting labour vary by state.
- The deposit was 30% of the estimate (30% × $2,005 = $601.50). It’s credited at the bottom, leaving $1,772.94 to pay.
Invoicing against your estimate
Copy the estimate lines onto the invoice unchanged and quote the estimate number. If the customer remembers $2,005, they should see $2,005 before anything else.
In the generator above, switch from Estimate to Invoice and your lines stay put. Then add any changes underneath and enter the deposit.
Change orders on a painting job
The usual causes of a bigger final bill. Each one gets its own line:
- Extra surfaces: a ceiling, a closet or a door the customer added.
- Colour changes after the estimate, especially deep tones that need a tinted primer or an extra coat.
- Repairs found during prep: drywall damage, rotten trim or failing old paint.
- Moving furniture the customer had agreed to clear.
Touch-ups and warranty terms
Say on the invoice where the leftover paint is and how long your workmanship warranty lasts. It costs nothing to write, and it answers the call you’d otherwise get in six months.
Questions and answers.
What should a painting invoice include?
Your business details, the customer and job address, an invoice number and date, the work as estimated, each approved change, paint and materials, tax if it applies, the deposit received, the balance due, and how to pay.
How do I show the deposit on a painting invoice?
Enter it in the Deposit paid field. It appears under the total as an amount already paid, and the balance due is reduced by it. Don’t add it as a negative line item, which makes the subtotal look wrong.
Should I charge for touch-ups after the job?
Touch-ups for your own misses are usually part of the job. New damage or colour changes after you’ve finished are new work and can go on a new invoice.
When should a painting invoice be due?
Many painters ask for the balance on completion or within a few days. Whatever you choose, put the due date on the invoice. Our generator sets one automatically, and you can change it.
Can I invoice a large painting job in stages?
Yes. Agree the stages on the estimate (for example, interior then exterior), then send an invoice as each stage finishes, crediting any deposit on the first one.
